LOOP Safari Gravel Series: Terms and Conditions

1. Event Registration:

All Participants must complete the registration process via the official event website https://www.safariraceseries.com. Registration fees are non-refundable and non-transferable. The registration fee covers registration of the event - please note that unfortunately no special race package will be provided for Vipingo Ridge race.

2. Age Restrictions:

Participants must adhere to the age requirements specified for each race category. Parents or legal guardians must provide consent for Participants under the age of 18.

3. Race Categories:

Participants are responsible for selecting a category suitable for their fitness and skill level. Changes to selected trails are not allowed on the day of the event.

4. Safety Regulations:

All participants must wear appropriate safety gear, including helmets. Follow designated routes and obey traffic laws during the event. It is the responsibility of the participant to ensure their own safety and the following of traffic laws.

5. LOOP ZONE Access:

Access to the LOOP ZONE race village area is granted to Participants and their accompanying family members who have been invited and officially registered for the day of the event.

6. Race Village Access:

Access to the Race Village area is granted to both Spectators, Participants and their accompanying family members.

7. Kids Racing Adventure:

Parents or guardians must supervise children participating in the Kids Racing Adventure. Children must wear appropriate safety gear.

8. Rent-a-Bike Services:

Rent-a-Bike services are provided by a third party company and are subject to availability and are provided on a first-come, first-served basis. Rental Participants are responsible for the proper use and care of the rented equipment. The participant is responsible to ensure that the rental bike provides an adequate helmet to be used within the race - all participants must wear helmets to participate! Please ensure you have booked through the 3rd party company, you understand all responsibility for the bike is between your initial check and that of the third party company.

9. Weather Conditions:

The event is subject to weather conditions. In the case of extreme weather, the event may be postponed or canceled. No refunds will be issued in such cases.

10. Event Photography and Videography:

As a Participant or a Spectator, the event organizers inform you that there will be photography and videography at the Safari Gravel Series which will be used for promotional and marketing activities. By entering into the Event premises and agreeing to participate in the Safari Gravel Series events, you consent to the use of your image and likeness in these photographs or videos.

If you do not wish to be photographed or videotaped, please inform any of the staff of the event organizers or the photographers. The event organizers will make an effort to avoid capturing your image or likeness, but they do not guarantee that you will not appear in promotional or marketing materials. If your image is captured and you would like the same taken down from any media whatsoever, please contact the event organizers through contact@loop.co.ke or info@safariraceseries.com. The event organizers shall take all reasonable steps to take down your image within the shortest time possible.

Please be aware that if you post any photographs or videos taken at the Safari Gravel Series on any media whatsoever, you are granting the event organizers permission to use those photos or videos for promotional and marketing purposes.

11. Cancellation Policy:

The event organizers reserve the right to cancel or postpone the event due to unforeseen circumstances. In such cases, Participants will be informed, and efforts will be made to reschedule, as reasonable as possible.

12. Liability:

Participants understand and acknowledge the inherent risks associated with cycling events and agree to participate at their own risk. Event organizers, sponsors, and partners are not liable for any injuries, damages, or losses incurred during the event.

13. Code of Conduct:

Participants must adhere to a code of conduct promoting a positive and respectful atmosphere. Any violation may result in disqualification.

14. Termination of Participation:

Event organizers reserve the right to terminate the participation of any individual violating these Terms and Conditions or engaging in unsafe behavior.

15. Privacy Policy:

At the Safari Gravel Race Series, we are committed to protecting your privacy. This Privacy Policy outlines how we collect, use, and safeguard your personal information when you register for participation in the event.

Information We Collect

Participant Information: We collect your full name, email address, phone number, gender and date of birth to facilitate registration as Participants.
By ticking the consent box during registration, participants agree to the collection and processing of this data by LOOP Safari Race Series and the Amani Project for event-related communication and marketing purposes.

Use of Information
Event Access: The collected information is used to provide you with access to participate in the Safari Gravel Race Series events.

Event Communication: Participants who agree to future communication will receive updates related to the Safari Gravel Race Series.

Data Protection Security: We take appropriate measures to ensure the security of your data and prevent unauthorized access.

Sharing:

Your data will only be shared with trusted third parties directly involved in the event, including: LOOP Safari Race Series, Amani Project, NCBA Bank, TCL and Other specified partners necessary for event organization and communication.Your information will not be shared with any additional third parties without your explicit consent.

Your Choices
Communication Opt-out: Participants can opt out of future communications at any time by updating their preferences or contacting us.

Data Deletion: Participants can request the deletion of their registration data by contacting our support team.

Changes to Privacy Policy: We may update this Privacy Policy to reflect changes in our practices. Participants will be notified of any significant changes.

16. Indemnity:

All Participants agree to indemnify the organizers of the Safari Gravel Race Series, their partners, directors and employees against any and all losses suffered by the Participants as a result of taking part in the event.

17. Governing Law:

Terms and Conditions are governed by the Laws of Kenya.

18. Bike maintenance or injuries on route: in the event of minor injury or bike mechanical participants are required and are responsible for their transport back to race village at their own cost. You are responsible for your own safety, and your return to the race village. Do bring small change and a cell phone, along with the proper repair tools during your ride.
